What the note should do

The first reminder is short on purpose. It names the invoice, the amount, and the due date, and it leaves room for a payment that already went out. Most late invoices are buried. The note should be easy to answer.

The firm second ask is shorter still. It repeats the amount and asks for a date. A date is something you can hold. It does not add a late fee, and it does not threaten anyone.

The final notice is for when the work is already done. It gives about two weeks, offers to split the invoice into two payments, and says this is the last reminder before you review all of your options, including legal ones. That is a next step. It is not a lawsuit.

The longer versions of these notes are the first reminder, the second ask, and the final reminder. If a fee is already in the contract, the late fee calculator turns it into a dollar amount. This page does not add a fee for you.

What should a polite overdue invoice email say?

The invoice number, the amount, and the due date. Then one clear ask: send the payment, or reply with the date it will go out. Leave out an apology for asking, and leave out a story about your cash flow.

When should I send the first reminder?

After the invoice is actually late. A note on the due date reads as impatience. A few days is enough space for a payment that was already scheduled. The first note assumes the invoice was buried, not refused.

How is a final notice different?
